By connecting your Calendly account, every new booking lands automatically as a lead in your Pipeline. No manual data entry, no missed leads. Here is how to set it up in just a few steps.
Connect Your Calendly Account
- Go to Settings > Integrations in your dashboard.
- Find the Calendly card and click Connect Calendly.
- Log in to your Calendly account and grant permission.
- You are returned to your dashboard automatically. Your Calendly account is now linked.
Map Your Event Types to Pipeline Columns
Once connected, you tell the platform where each type of booking should land in your Pipeline.
- Click Map Event Types on the Calendly card.
- You see a list of your Calendly event types, for example: Discovery Call, Strategy Session.
- For each event type, choose the Pipeline column where new bookings should appear.
- Save your mapping.
From this point on, every new booking flows straight into the right column as a lead card.
The Amber Banner: Unmapped Bookings
If bookings come in before you have set up a mapping, your Pipeline page shows an amber banner with the number of unmapped bookings. Click the banner to open the mapping dialog and assign those bookings to a column.
What You See on Each Lead Card
Open any lead card that came in via Calendly and you will find:
- The date and time of the booking
- The location: video call, phone, or in person
- The invitee's answers to your Calendly intake questions
- The cancellation reason, if the booking was cancelled
The card timeline also updates automatically with events for booked, cancelled, and rescheduled.
Reconnect or Remove the Integration
If your connection expires, a Reconnect button appears on the Calendly card. Click it and log in to Calendly again to restore the link. To remove the integration entirely, choose Remove Connection on the same card.
Tips
- Map all your event types before you go live so no booking lands without a Pipeline home.
- Use separate Pipeline columns for different event types, for example one column for discovery calls and one for paid strategy sessions. This gives you a clear view of where leads are coming from.
- Check the timeline on a lead card to see the full booking history, including reschedules and cancellations, at a glance.
