How to Create and Send Professional Quotes

Last updated March 30, 2026

Answer

With the Quotes feature you can create polished, numbered quotes for your clients in just a few steps. Track every quote from draft to accepted, and keep everything connected to your contacts in the Lead Engine.

Creating a new quote

  1. Go to Quotes in your dashboard.
  2. Click New Quote in the top right corner.
  3. Select the contact you want to send the quote to. The client details fill in automatically from your Lead Engine contacts.
  4. Add one or more line items: give each item a description, a quantity, and a price.
  5. Set a valid-until date so your client knows how long the offer stands.
  6. Save the quote. It gets an automatic quote number so your administration stays tidy.

Sending the quote to your client

  1. Open the quote from your quotes list.
  2. Click the Send button (the envelope icon).
  3. The quote is emailed to your client directly from the platform.
  4. The status updates automatically to Sent.

Tracking quote status

Every quote moves through clear stages so you always know where things stand:

  • Draft: you are still working on it
  • Sent: delivered to the client
  • Viewed: the client has opened it
  • Accepted: great news, time to get to work
  • Rejected: follow up or adjust and resend
  • Expired: the valid-until date has passed

Use the status filter buttons at the top of your quotes list to quickly focus on a specific group.

Your quotes dashboard at a glance

At the top of the Quotes page you see three quick stats: total number of quotes, the total value of quotes created this month, and the number of accepted quotes. A handy way to keep an eye on your sales pipeline without any extra effort.

Tips

  • Link quotes to contacts in the Lead Engine so you always have the full client history in one place.
  • Set a realistic valid-until date to create a natural moment to follow up with your client.
  • Use the Draft status to prepare quotes in advance and review them before sending.
  • Filter by Sent or Viewed to prioritize your follow-up calls.
